‘Ask Croydon Council’ AI assistant – privacy notice

Purpose of this notice

This notice tells you how we will use any personal information you give whilst interacting with the 'Ask Croydon Council' AI Assistant. 

How we will use your information 

Conversation transcripts will be retained for internal use by Croydon Council to review the accuracy of results, improve the residents experience and develop services for customers.  

Transcript information is not shared with other processors or third parties.

At the end of the conversation users will be asked to respond to a digital survey about their experience with the AI Assistant to monitor overall satisfaction with the service being provided.

How long we will keep your information for

The transcripts will be removed in line with the council data retention policy, which is 28 days.

Your rights

All interactions with the AI Assistant are anonymised, which means we won’t be able to identify who said what.

The Council considers receiving and acting on customer feedback as part of its public task, by our best value duty to continuously improve. This means that we understand our legal basis for processing your data as Article 6(1)(e) of the General Data Protection Regulation  

Our digital AI Assistant will answer your questions about council services 24 hours a day, seven days a week. It uses Artificial Intelligence (AI) to understand queries, search the website for answers, and provide a response.  

We make every effort to ensure that the information on our website is up to date so our AI Assistant delivers the correct answers. 

Sometimes, we might interpret your questions wrongly or not provide a clear answer. In these cases the Council does not accept liability of the responses If you have any further queries about information received then please contact us.
